Service package

The service package always refers to the total price, which includes the pre-agreed services in f.ex. a meeting package space rent, coffee service, lunches, etc. The price of a service package is not divided and unused services are not refunded.

Specifics of the event

Please deliver two (2) weeks prior to the event a detailed program specifying:
• the number of participants
• the schedule
• meal times and any special diets
• the necessary conference equipment and table shape
• the names of the hosts / hostesses for the event

Kindly confirm the number of participants of the event in writing no later than four (4) working days prior to the event. In the case of the number of people participating changing by more than 10%, we reserve the right to price changes. Invoicing is then based either on the number of people confirmed or the actual number of people, if more than confirmed. The space reservation is valid for the number of participants stated by the client. If the number of participants changes substantially the outlet has the right to assign another space to the client and renegotiate the details of the event and costs.

Cancellation terms

The order made by a client is binding after confirmation. However, the client can cancel an order, in which case the meeting and convention center Levi Summit / K5 Levi Hotel / Hotel Levi Panorama / KF Restaurants Ltd will charge a cancellation fee based on the size of the order and the cancellation time as follows:

When a booking is made less than two (2) weeks prior to the event, the confirmation or cancellation must be done in writing within two (2) working days from the time of reservation to This email address is being protected from spambots. You need JavaScript enabled to view it.. Bookings made less than a week before the event must be confirmed immediately.

In the case of a cancellation a fee will be charged on the same principle as with the reservations for 10-30 people, see above. If the details and catering have not been agreed upon, will the cancellation fee be based on the list price for the space or in the case of a restaurant reservation the cheapest menu in the offer. Organizing fees

There is a price on the use of facilities unless otherwise stated in the offer. A separate space fee is charged by outlet for the use of meeting rooms and group work spaces. Furniture changes, additional furniture and other arrangements will be charged for separately. Sound systems, audio-visual services and equipment that are not part of the restaurant’s / meeting room’s basic equipment or part of the service package, will be charged for separately. If the catering supplier on the request from the client obtains a special permit, for example a permit for the extended serving of alcohol or a notice on temporary selling and serving of food, arranges program, an orchestra, decorations or special structures, the client commits to being responsible for all costs occurring from these.

Restaurant services

KF Restaurants Ltd has the exclusive right to offer restaurant services within the facilities of Hotel Levi Panorama, Hotel K5 Levi and The meeting and convention center Levi Summit. The client is not entitled to bring their own food or beverage products into the before-mentioned facilities.

Pre- and final payment

A group booking requires a common invoice. If on-site the customer states that each member of the group will pay for the services themselves or wants the invoice to be divided to be given to several parties, we charge an invoicing fee of 10€/invoice at Hotel Levi Panorama and 5€/invoice at Hotel K5 Levi and KF Restaurants.

Events of fewer than one hundred (100) people are paid for by cash or by credit or debit card unless otherwise agreed on payment terms. If the client has a billing agreement the event can be invoiced afterwards. A 10€ invoicing fee will be added to the invoice. The interest on overdue payments is as stated in The Interest Act.

Events of over one hundred (100) people are confirmed by paying a reservation fee, which is 20€ per person. The operator has the right to put the reserved facilities and services back for sale if the reservation fee has not been paid by the due date. The event will be invoiced based on the price of the ordered services deducted by the reservation fee 4 weeks prior to the event unless otherwise agreed in writing. Changes that occur after the invoice has been paid or additional orders made onsite will be paid by the client onsite or in the case of a client with a billing agreement an invoice will be sent after the event.

Responsibility of the client

The client is obliged to protect the premises and furniture rented from damage. The client is responsible for all damage that the client’s equipment, staff, performers, or meeting participants cause to the premises or tangible property of the outlet. The client is responsible for the equipment and tangible property brought into the outlet. The client agrees to comply with the outlet staff’s instructions on the use of the furniture and equipment. In the event of an accident occurring The meeting and convention center Levi Summit / Hotel K5 Levi / Hotel Levi Panorama / KF Restaurants Ltd will charge the repair, cleaning or other costs from the client.

Transferring of the contract

The client does not have the right to transfer the agreement or hand-over the use of the rented facilities to a third party without the consent of the outlet.
